PART #1 – BACKGROUND INFORMATION 

The resource role of Senior Business Analyst reports to the department of Information Services & Technology’s Project Management Office at UM. The Project Management Office provides business analysis capabilities including resources and methodology for UM. The technology projects at UM can vary from Development, Infrastructure, Integration, and Package Selection/Implementation. The Business Analyst works closely with the Solution/Technical Architect and Project Manager.  Typically, Business Analysts are expected to work on 1-3 projects at one time. 

Additionally, UM values Business Analysts that can also take on the role of Change Manager and understand the solution and promote progress on projects by removing issues and facilitating discussions.

 

PART #2 – CURRENT CONDITIONS/RISKS

UM has an immediate need for Senior Business Analysts to work on Enterprise projects including Application Selection, Integration and Infrastructure projects. UM is looking for Senior Business Analysts that have experience working on enterprise level Application Integration and Application Selection projects. 

The normal business hours for the Senior Business Analyst roles are 8:30am to 4:30pm central time, Monday to Friday, with a one-hour lunch, for a total of 7 hours a day, 5 days a week. Any proposed Resources must be prepared to be available during these hours exclusively. UM will supply a laptop computer for the use of the successful Resource throughout the engagement. 

A hybrid work schedule is expected of 2-3 days working remotely, with the work conducted remotely through a mandatory VPN on a University provided laptop. In person work is required 12 days per week.  An in person visit to the Fort Garry campus is required on the starting day of the engagement to pick-up the laptop and for onboarding activities.

UM observes all public holidays. UM will be closed between December 23, 2024, and January 1, 2024 (inclusive). No work will be performed during this time.

 

PART #3 – SCOPE OF WORK/DESIRED OUTCOMES

At UM, our Project Management methodology is PRINCE2, and our Solution Development methodology is Solution Architecture-Driven. Prior experience working with Solution Architects in a collaborative way is required. The Senior Business Analyst works along with the Solution Architect and Project Manager to form the Project Leadership team. All three roles are equal and have separate roles and responsibilities. 

 

Attributes that are highly desirable in this Senior Business Analyst role are as follows:

•       Strong requirements gathering skills including conducting requirement gathering workshops.

•       Strong business process skills with an emphasis on business process reengineering. 

•       A solid foundation of Information Technology skills and experience.

•       Experience working in a Higher Education environment.

•       Experience working on projects with application/package selection.

 

Prior experience in the following areas would be an additional asset for consideration:

•       Prior experience creating and implementing Operation Change Management and Communication plans.

•       Experience working on ITSM solution implementation project(s).

•       Experience working on data protection project(s).

•       Experience working with Pension application selection project(s).

•       Experience with data analytics.

•       With complex projects with multiple concurrent streams of work.

•       With Prince2 Project Management.

•       Working with a Privacy Officer and Information Security Officer. 

•       Working in a multi-union environment with several collective bargaining units. 

•       Facilitating planning sessions/workshops with large diverse groups. 

 

The term of these engagements is expected to be 8 months. The contract will be assessed near the end of the term to determine if the contract will be extended. All contract extensions are subject to the needs of the Project Management Office and the projects within the Resource’s assigned project portfolio. 

 

Responsibilities:  

-    Perform requirements gathering duties and create and maintain appropriate documentation such as process documents, business requirements documentation.

-    Perform gap analysis and create and maintain appropriate documentation such as current state, future state, gap analysis documentation.

-    Applies an appropriate level of business analysis processes and controls to the project using generally accepted frameworks (ex. IIBA™). 

-    Identifies and documents risks. 

-    Process mapping. 

-    Leading/facilitating workshops with project teams and stakeholders, including senior executives.

-    Leading stakeholder communications, managing stakeholder expectations.

-    Submit weekly status report and time sheet submission. 

 

Skills:  

-    Excellent interpersonal and listening skills. 

-    Excellent analysis and problem resolution skills. 

-    Excellent organizing and facilitation skills with cross- functional multi-department teams. 

-    Excellent communication skills; oral, written and presentation. 

 

DESIRABLE EDUCATION REQUIREMENT  

An undergraduate degree in Business Management, Engineering, Computer Science or other demonstrated relevant degree; 

or  

A college diploma with a specialization in Business Analysis or Project Management; and  

A certification in business analysis (ex: ECBA™, CCBA™ or CBAP™ or PMI-PBA®) or certification in project management (ex. PMP®, PRINCE2™). 

 

DESIRABLE EXPERIENCE REQUIREMENT  

10 years of experience and responsibility for all aspects of business analysis, including but not limited to the creation and management of project deliverables such as the business requirements documentation (BRD), process mapping, gap analysis (including current state and future state documentation), stakeholder analysis, and weekly progress/status reports;  and  

10 years of experience facilitating workshops with varied stakeholders;  and  

Experience working in a Higher Education environment;  and  

Experience in information technology related projects;  and  

Experience in Organizational Change Management (ex. Prosci); and  

Experience with senior executive and stakeholder management.
